Streamlining Spend Import with FreshBooks
The FreshBooks integration enables automatic import of spend data into AppVentory, eliminating manual data entry and ensuring accurate, up-to-date financial visibility. Once connected, the integration continuously syncs expense-related transactions, allowing businesses and advisors to track, analyze, and optimize software spend efficiently.
How the Integration Works
Setup begins by selecting Connect Now, which initiates the FreshBooks authorization process via OAuth (including Sign in with Google, where applicable).
During setup, configuration includes:
- Optional selection of a Business (sourced from the FreshBooks Business Profile)
- Selection of a Spend History Timeline, which determines how far back transactions are imported
After setup completion:
- Integration status displays Active
- Data import runs automatically
- Transactions appear in Spend Overview, categorized as Mapped or Unmapped
- Transactions are linked to applications using Mapping Rules or manual assignment
Steps to Integrate
- Initiate Connection
Select Connect Now - Confirm Connection
Click Connect - Authorize Access
A FreshBooks tab opens > click Authorize - Sign In to FreshBooks
Enter credentials or select Sign in with Google - Grant Permissions
Check the confirmation box > click Accept and continue - Allow Apideck Access
Click Allow to enable secure data transfer - Choose a Business (Optional)
- Dropdown values originate from the FreshBooks Business Profile
- Integration can proceed without selecting a business
- Save Settings
Click Save - Select Spend History Timeline
Choose the required time range for historical data import - Complete Setup
Click Complete Setup
After completion, integration status updates to Active, and automatic data syncing begins.
Selecting a Business
A Business dropdown appears during setup. Listed names originate directly from FreshBooks.
Identification of Business Name
- FreshBooks Dashboard: Displays the business name
- FreshBooks Settings:
Navigate to Settings > Business Profile > Basic Information
Configured business name appears in the AppVentory integration dropdown.

Limitations & Restrictions
Unsupported Functions
- One-way synchronization only — no creation or modification of data in FreshBooks
- Import limited to Expense Categories (no full chart of accounts)
- No import of:
- Sales invoices issued
- Estimates
- Time tracking entries
- Client records
- Payroll data
- No automatic transaction-to-app mapping by default
- Unmapped transactions remain in Unmapped Spend
- AppVentory does not function as a replacement for FreshBooks accounting capabilities
